The brief


To create an efficient and cost-effective distribution process for project-specific heating and ventilation manuals which must be made available to homeowners and core property developers at completion, and going forward into property management.

For the property developers, this includes a highly detailed document containing designs, specifications and technical drawings which can run to hundreds of pages long and several gigabytes in size. Distribution of these documents via email or hard copy can be both inefficient and impractical.

The solution


We designed and built a bespoke client portal system which provides documents for download via a secure login system. Where a basic off-the-shelf large file distribution tool could have worked in the short-term, our cloud-based document storage system has in-built longevity, enabling ease of access for facilities managers and occupants despite future facilities contract changes and property sales.

We also built a simple and intuitive back office system allowing our client's Document Control team to manage the building projects and document uploads, retaining full ownership of the process in-house.

Our system currently manages homeowner and building project documents for around 2,000 addresses in London, with a significant number of new documents set to be added by the client over the next 12 months.
