The brief


To fully automate the RSVP process for the company's annual staff conference and make what has previously been a laborious manual task more effective while radically reducing administrative man hours spent on the event each year.

Challenges included a largely mobile 300-strong workforce spread across multiple construction sites at any one time, a lack of email address for many members of staff, and the need to efficiently capture additional details such as award nominations and individual travel preferences in a fast and user-friendly manner - all while providing management teams with real-time, granular reporting.

The client was keen to utilise its existing intranet from a strategic and practical perspective, capitalising on resources previously invested and reinforcing the intranet as a central hub for internal communications.

The solution


We designed and built a bespoke add-on to the client's existing intranet which enabled a conference invite to be sent out to each member of staff via SMS text message.

Each of the 300 SMS messages sent out was unique, containing a personalised, encrypted link to the staff intranet. The personalised link automatically identified the member of staff before they submitted their RSVP, with built-in validation preventing any member of staff from responding on another's behalf.

A bespoke integrated reporting dashboard allows HR and PR/event teams to monitor responses in real-time and check which members of staff were yet to respond, with the ability to export data in CSV format ready for further pre- and post-conference processing and analysis.

It takes less than 30 seconds for staff to respond via the SMS link, helping to position the intranet as convenient and useful while improving staff sentiment ahead of the annual conference.

Although developed for a specific event, our system is highly re-usable and the client is now planning further uses for this powerful and flexible tool, maximising their return on investment.
